Terms of Service
These Terms of Service ("Terms") govern your access to and use of SmartLedger. By creating an account or using the service, you agree to these Terms.
1. About SmartLedger
SmartLedger provides tools to collect receipts (via upload, email forwarding, or connected mailboxes), extract transaction details with AI, and organize them in a personal ledger and reports. We may update, add, or remove features at any time.
2. Eligibility and account
- You must be at least 16 years old to use SmartLedger.
- You are responsible for keeping your login credentials secure and for all activity under your account.
- You must provide accurate account information and notify us if you suspect unauthorized access.
3. Acceptable use
You agree not to:
- Use SmartLedger for unlawful purposes or to violate third-party rights
- Attempt to access another user's data, probe our systems without authorization, or interfere with service operation
- Connect mailboxes or upload content you do not have the right to use
- Misuse OAuth integrations (Gmail, Outlook, Yahoo) beyond the features we provide
- Resell or sublicense the service without our written permission
We may suspend or terminate accounts that violate these Terms or pose a security risk.
4. Email and mailbox integrations
Connecting Gmail, Outlook, or Yahoo is optional. When you connect a mailbox, you authorize SmartLedger to perform the actions described in our Privacy Policy, including creating forwarding rules or filters and reading recent messages when you request a receipt scan.
- You remain responsible for reviewing rules, filters, and forwarded mail in your email provider.
- Third-party email providers may change APIs, limits, or policies; we are not liable for outages or changes outside our control.
- Disconnecting a provider in Settings stops further API access from SmartLedger.
5. AI parsing and accuracy
SmartLedger uses automated systems (including third-party AI models) to read receipts and suggest categories, amounts, and dates. Results may be incomplete or incorrect. You are responsible for reviewing all entries before relying on them for tax, accounting, or legal decisions.
SmartLedger is not a certified accountant, tax advisor, or legal professional. Nothing in the service constitutes tax, legal, or financial advice.
6. Subscriptions and billing
Paid plans, when offered, are billed through our payment processor (Stripe). Prices and features are shown at checkout. Unless stated otherwise:
- Subscriptions renew automatically until canceled
- You may cancel through the billing portal or account settings; access continues through the end of the paid period
- Refunds are handled according to the policy displayed at purchase and applicable law
Free tiers may include usage limits (for example monthly parsing credits). We may change pricing or limits with reasonable notice.
7. Your content
You retain ownership of receipts, transactions, and other content you submit. You grant us a limited license to host, process, and display that content solely to operate and improve SmartLedger for you. You represent that you have the rights to submit the content you provide.
8. Privacy
Our Privacy Policy describes how we collect, use, and delete data, including Gmail and Outlook mailbox access. The Privacy Policy is incorporated into these Terms by reference.
9. Third-party services
SmartLedger relies on third parties (including Supabase, Google, Microsoft, OpenAI, Anthropic, and Stripe). Your use of those services through SmartLedger may also be subject to their terms and policies. We are not responsible for third-party services we do not control.
10. Disclaimers
THE SERVICE IS PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS OR IMPLIED, INCLUDING MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, AND NON-INFRINGEMENT. WE DO NOT WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE, OR THAT AI OUTPUT WILL BE ACCURATE.
11. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, SMARTLEDGER AND ITS OPERATORS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, OR ANY LOSS OF PROFITS, DATA, OR GOODWILL, ARISING FROM YOUR USE OF THE SERVICE. OUR TOTAL LIABILITY FOR ANY CLAIM RELATING TO THE SERVICE IS LIMITED TO THE GREATER OF (A) THE AMOUNT YOU PAID US IN THE TWELVE MONTHS BEFORE THE CLAIM OR (B) USD $100.
Some jurisdictions do not allow certain limitations; in those cases our liability is limited to the fullest extent permitted by law.
12. Indemnification
You agree to indemnify and hold harmless SmartLedger from claims arising out of your misuse of the service, your content, or your violation of these Terms or applicable law.
13. Termination
You may stop using SmartLedger at any time and delete your account in Settings. We may suspend or terminate access if you breach these Terms or if we discontinue the service. Sections that by nature should survive (disclaimers, liability limits, indemnity) survive termination.
14. Changes to these Terms
We may modify these Terms. We will post the updated version on this page and update the "Last updated" date. Material changes may be communicated through the app or by email. Continued use after the effective date constitutes acceptance.
15. Governing law
These Terms are governed by the laws of the jurisdiction in which SmartLedger is operated, without regard to conflict-of-law rules. Disputes will be resolved in the courts of that jurisdiction, unless applicable consumer protection law requires otherwise.
